Do I need insurance for my booth at CES?
Yes. All exhibitors must have a commercial general liability policy not less than $250,000. The exhibitor and its authorized contractors agree to carry adequate personal and property damage liability and workers' compensation insurance.

Specifics regarding additional insured, indemnification and hold harmless agreements can be found in the General Information section of the Exhibitor Manual.

Yes. Fire marshal approval is required every year, regardless of whether or not the booth design has been changed or altered. Make sure to have your floor plans submitted by the deadline of October 31, 2012.
Can I hang truss or other structural equipment outside of my booth?
Can I hang truss or other structural equipment outside of my booth?
No. Booth structures and elements must be maintained within the officially contracted exhibit space and may not protrude into the aisles. This includes all truss work, lighting apparatus, audio and projection equipment, speakers, etc. These elements must be directed into your booth and not towards the aisles or neighboring exhibitors. There will be no exceptions made on-site.
Are there any sound restrictions on the show floor?
Are there any sound restrictions on the show floor?
Yes. A strict maximum noise level of 85 dB will be maintained on the exhibit floor, suites and in meeting rooms.

Automotive Electronics exhibitors in the North Hall of the Las Vegas Convention Center will be allowed an elevated decibel level for the last show hour of each show day only. This means that all exhibitors may not exceed the 85 dB level throughout the day, but may run demos up to 95 dB from 5-6 p.m. on Tuesday through Thursday and 3-4 p.m. on Friday. Demos exceeding 85 dB at any other time are strictly prohibited, and exhibitors will be given one warning before their power is shut down accordingly the aforementioned timeline.

No. CES policy strictly prohibits over-the-counter sales (i.e.: cash, check or credit card). Only bona fide business orders for future billing, payment and delivery are permitted. CES will close down booths in violation of this regulation.
What is the height restriction?

The following height restrictions apply to signs, walls and other structures within contracted exhibit space:
  • North Halls 1-4 (booths 100-6,999) - 30 feet
  • Central Halls 1-2 (booths 7,000-9,700) - 20 feet
  • Central Halls 3-5 (booths 9,800-15,999) - 30 feet
  • South Halls 1-4 (booths 20,000-39,999) - 22 feet

Pay attention to your target floor plans and column details to ensure that you are aware of any constraints within your space in advance.

Yes. All meeting room exhibit displays, including exterior elements such as entrance units, truss work and signage, must have a floor plan approved by the LVCVA Safety Office and the Convention Services department. No. Subflooring is not allowed in LVCC meeting rooms. Carpet may be installed on top of existing carpet in the meeting rooms.

Any company other than the designated "official" contractors listed in the Exhibitor Manual which provides a service and needs access to your booth anytime during installation, show dates or dismantling. In order to have a non-official vendor service your booth at CES, you and they will need to provide the following information to CES Operations no later than December 7, 2012:

CES Operations has an online tool for exhibitors to register their EACs, and for EACs to manage their requirements for CES. Any EAC that needs access to the CES show floor must upload their current information into this tool. Exhibitors please use the online tool at www.CESweb.org/myEAC to authorize your EAC as working on your booth at CES. Please follow up with your EAC to ensure that they are meeting their requirements as well. EACs should use the online registration tool at www.CESweb.org/eac.

Freight for both move-in and move-out have been targeted by GES so as to better manage freight operations and efficiency on the show floor. Target freight dates are determined based on booth size and location in the exhibit hall. Exhibitors requesting to change their target freight date must do so in writing to GES at CESfreight@ges.com.


Are there any dark days during move-in?

Unlike last year, we will again have a dark day during CES move-in. We will be open for a half day of work on December 31, and the building being completely shut down at 2 p.m. The LVCC will be completely closed on January 1, 2013 with no entry or work permitted.
When can my contractors/vendors access the show floor for move out?

As an additional safety measure, no workers will be permitted on the show floor until one hour after the show closes on Friday at the LVCC. This includes all I&D labor, electricians, stagehands, cleaners, vendors and all EAC workers.
PLEASE NOTE: Exhibitor freight move-out is targeted, so be sure to reference your target freight move-out floor plan and corresponding information so as to have a successful experience.
When it comes to ordering electrical labor, what is the difference between the LVCC Incentive and Composite Rates?
When it comes to ordering electrical labor, what is the difference between the LVCC Incentive and Composite Rates?
The Incentive Rate allows LVCC exhibitors to do more advance work and to alleviate the crunch on the weekend before CES. The Composite Rate offers LVCC exhibitors a longer 11-hour window of work time, and allows GES to guarantee multiple start times before 8 a.m.
Can I order DTV stations service and HDTV cable service?
Can I order DTV stations service and HDTV cable service?
Yes. DTV local over-the-air broadcast can be ordered from the LVCC Communications Department. Or, you can work directly with Cox Communications  to receive full HDTV cable station coverage.

CES provides 24-hour hall and perimeter security only. It is strongly recommended that exhibitors hire guards and security cages to protect your displays and product at all times until outbound shipment is picked up. There are three options for hiring booth security:
  1. You can hire from one of the three official security companies.
  2. You can hire a non-official security company as long as they are licensed by Clark County and State of Nevada, and also permitted to work in the building. A list of non-official security companies is included in the security section of your manual.
  3. A bona fide full time employee of the exhibiting company may be present in the booth for the purpose of providing security. This does not include part time employees, consultants or I&D workers.

The Venetian/Palazzo is a five-diamond luxurious resort hotel conveniently located on the Las Vegas strip within walking distance of the Wynn/Encore, Treasure Island and Mirage hotels. This venue offers a host of show services such as full-service registration, Press Room, CEA Member Lounge and dedicated shuttle service running exclusively between the LVCC and The Venetian, also known as The Venetian Express. The Venetian offers customizable booth space, meeting rooms and suites for exhibitors in an upscale atmosphere. Sleeping room blocks opened on CESweb in April. To request your block of 20 or more rooms (only a minimum of 10 rooms at The Venetian) at a CES hotel, please complete the group block request form. Take the Venetian Express. The boarding location at the LVCC is outside of the C2 entrance, along the red curb. The boarding location at The Venetian is located on Level 1 across from Marco Polo. This service runs every 10 minutes, Monday-Friday. Visit the CES Hotel and Travel page to download a complete shuttle schedule.

The Venetian has a large parking structure connected to the facility providing ample parking. Parking is complimentary at The Venetian for hotel guests and CES exhibitors and attendees. However, if you are not staying at The Venetian, we highly recommend you take advantage of our free shuttle service!

What signage will I be permitted to display?

Exhibit suite exhibitors: CES will provide you with an exhibitor ID sign for the entrance to your suite which will list primary and share companies who are fully contracted by December 1. You are not permitted to have signage in the suite hallways or rotundas.

Hospitality suite exhibitors: Exhibitors are permitted to have signs within their assigned suite but they must be free-standing. Signs are not permitted outside of your suite or in the hallways.
Exhibitor hospitality suite numbers will be printed on signage created and placed by CES, as well as distributed at info desks and offices.

Meeting room exhibitors: CES will provide you with a 22"x28" sign which will list primary and share companies who are fully contracted by December 1. You are permitted to have additional signage directly outside the entrance to your room, but you are responsible for providing or ordering this directly.

Hall D and Venetian Ballroom exhibitors: CES will provide all booths that are 399 sq. ft. or less with one (1) 7” x 44” identification sign which will include your company name and booth number as printed on your contract. You are permitted to display additional signs within the confines of your booth but they must follow CES sign/banner guidelines. These guidelines can be found in the Venetian Exhibit Space Manual

Due to limited freight access, exhibitors have the option of only removing suite beds. All other furniture removal is prohibited. Exhibitors that opt to either have the bed removed or to have additional rental furniture, equipment or freight delivered to the suite, must provide to The Venetian a $1,500 security deposit per suite. The credit card authorization form must be signed along with your space contract, but The Venetian will not bill your card until the last week in December.

No, these rooms are unfurnished. The Venetian has a limited amount of complimentary tables, chairs, etc. which you may order. You also have the option of ordering furniture through GES as needed. GES order forms can be found in your Venetian Exhibit Space Manual.

No, they are not. While the airwalls are top-tier quality, there may still be some acoustic transfer between rooms.

All Venetian meeting rooms are joined by air wall doors that cannot be locked and The Venetian in-house services may also have access to these rooms. We strongly encourage exhibitors to hire security for their meeting rooms and secure valuables, specifically during move-in and overnight hours when exhibitor staff are not present. CEA and The Venetian are not responsible for any thefts that occur in any meeting room.

Deadlines for placing orders are listed at the top of each GES order form.

Additionally, shipping to the GES advance warehouse is less expensive for Venetian exhibitors. Be sure to ship your freight to the advance warehouse between November 19, 2012 and January 2, 2013 to take advantage of this. As in the past, GES is our official general service contractor. All freight shipments should be sent in advance to the GES warehouse by January 2, 2013. Advance CES material handling rates will apply.

Material handling rates are as follows:

Venetian Exhibit Space (Hall D, Venetian Ballroom, Venetian Meeting Rooms):
Advance freight to the warehouse: $41.07 per 100 lbs. ($123.21, 300 lbs. minimum)
Direct freight to show site: $69.53 per 100 lbs. ($208.59, 300 lbs. minimum)

Venetian Exhibit Suites:

GES has exclusive control of the loading/unloading and access to/from the loading docks. You and/or your carrier will not be permitted to unload your vehicle as there is limited dock space at The Venetian and we do not have multiple access points for unloading freight.

The show closes at 4 p.m. on Friday, January 11 for all Venetian exhibitors. Early dismantling may jeopardize your priority standing and participation at a future CES show. GES will not begin crate and carton return until the evening of January 11.

Specialized Event Services (SES) is the exclusive provider of all electrical, telecommunications, Internet, cleaning and rigging at The Venetian. What are the electrical limitations in the exhibit suites?
What are the electrical limitations in the exhibit suites?
Each suite is equipped with 20 amps. There are two 1,000-watt circuits per standard suite that make up a total 2,000 watts per suite. Exhibitors cannot exceed 1,000 watts per circuit, as electrical circuits that feed each suite are part of a riser system. Note: Larger suites such as Piazzas, Primas and Renaissance suites can accommodate additional wattage. If you have suite electrical questions, please contact Marina Wasiak.

We strongly encourage exhibitors to hire security for their exhibit, specifically during move-in and overnight hours when exhibit staff are not present. CEA and The Venetian are not responsible for any thefts that occur in any meeting room. CES provides 24-hour perimeter security only.

All Venetian suite exhibitors will have suite keys. However, if you request housekeeping services, they will have access to your suite thus we recommend you secure all valuables in your suite or hire security services.

There are three options for hiring booth security:
  • You can hire a security services from COP Security, our official security company for The Venetian
  • You can hire a non-official security company as long as they are licensed by Clark County and State of Nevada, and also permitted to work at. A list of non-official security companies is included in the security section of your manual
  • A bona fide full time employee of the exhibiting company may be present in the booth for the purpose of providing security. This does not include part time employees, consultants or I&D workers.

Whether you choose to hire from a guard through COP Security or a non-official vendor, guard services quickly sell out in Las Vegas during CES. Place your orders as early as possible!

The Renaissance cannot guarantee a specific suite due to unforeseen circumstances that may occur prior to an exhibitor’s check-in. Suite numbers will be assigned to exhibitors at time of check-in.

CES will be posting signage in the Renaissance lobby, directing people to exhibitor suites. Further, the hotel concierge will have a daily list of occupied suites to direct guests. MYCES will have the most up-to-date information.
Since we have paid CES for our suite, we will not need to provide any form of payment to the Renaissance, correct?
Since we have paid CES for our suite, we will not need to provide any form of payment to the Renaissance, correct?

Renaissance suites are to be used for meetings or as hospitality suites only. Absolutely no exhibits may be built or installed, and any exhibits found will be immediately shut down. The suite holder shall assume full responsibility for any damages incurred.

All installation plans must be submitted to the Renaissance for approval by October 8, 2012. When constructing any wall units, care must be used not to obstruct any of the HVAC controls, light controls, electrical outlets, cable TV outlets or sound outlets. Walls must be 18 inches below automatic fire sprinkler heads.

Fire extinguishers, fire hose cabinets, fire alarm pull stations, and exit signage must not be blocked and must remain visible. There are no storage closets or utility rooms within the meeting room.

Any damages are the sole responsibility of the exhibiting company.

If you are planning a display with specific size requirements, we strongly recommend you or your Exhibitor Appointed Contractor (EAC) measure the room(s) in person.

CES will be posting signs in the Renaissance lobby and at the guest room elevator banks, directing guests to the appropriate suites.

The Renaissance will provide one 8.5" x 11" sign in a sign holder outside of each CES exhibitor suite. Exhibitors many not place other easels or signage in the hotel lobby or suite/guest room hallways. Signage found in these restricted areas will be removed immediately by hotel security.

Any displays or exhibits must conform to fire ordinance rules. The Hotel will not permit the affixing of anything to the walls, floors, or ceilings or rooms with nails, staples, tape, or any substance unless the Hotel provides written approval. In the event this is done without the hotel's authorization, and any damage is suffered, the cost of repair and/or replacement will be billed to the patron and the patron agrees to pay the damages.

Any advertisements or promotional materials referencing the hotel, in addition to any printed signage that the client wishes to display, must be approved by the hotel's sales and catering department in advance. Signs or displays of any kind may not be set up in the corridors outside meeting rooms.

Unless otherwise requested, CES will be promoting your meeting with signage at guest room elevator banks. Please note that show attendees can easily determine the assigned meeting rooms by checking the directional signs that are posted in the lobby, the meeting space area, and the information channel on guestroom televisions.

All requests for signage, advertising and distributions on hotel property must be submitted in advance to the Renaissance Las Vegas for approval. Unauthorized signage, advertising and distributions will be promptly removed and discarded.

Carpet may be installed on top of existing carpet in the meeting rooms. Visqueen must be placed between the existing carpet and the carpet being installed. Do not use any visqueen with pre-adhesives. Only non-residue tape may be used to secure the carpet in place. Make sure there are no trip hazards. All installed carpeting and visqueen must be removed during move-out.

Keys for the meeting rooms are available for a charge of $25 per key. Lost keys incur a $250 charge. Authorization forms for the keys need to be completed and returned to the Renaissance 30 days prior to the show. Please contact Janice Lencke at 702-784-5752 for more information.

Please note that although exhibitors maintain responsibility of the keys, Renaissance in-house services may also have access to these rooms. We strongly encourage exhibitors to hire security for their meeting rooms and secure valuables, specifically during move-in and overnight hours when exhibitor staff is not present. Security guards are available through the Renaissance at a cost of $50 per hour, four-hour minimum. Please contact your Convention Services Manager to order security. CES and the Renaissance are not responsible for any thefts that occur in any meeting room.

Freight and crates are not allowed, as suites cannot be utilized for exhibiting equipment or products. The hotel does not have freight elevators accessible to suites. Although there is a small business center on-site, it has limited storage and loading dock access. Items other than small boxes and packages should expect a lengthy delivery time frame (24 hours) as well as substantial material handling charges.

All advance warehouse freight shipments must be crated and sent in advance to the GES warehouse by December 19, 2012. There is limited dock access at this facility; therefore if you are shipping a truckload/trailer load, you MUST ship it in advance to the GES warehouse. Shipping to the Advance Warehouse will ensure that your freight is delivered to your room prior to 3 p.m. on January 5 at which time you will have access to your meeting room.

For direct shipments to the Renaissance, all carriers including privately owned vehicles (POVs) must check-in at the GES marshaling yard at the corner of Sunset and Post beginning on January 5 at 12 noon.  From the marshaling yard, GES will dispatch your shipping carrier or POV to the Renaissance loading docks. On-site material handling charges will apply. Advance warehouse and on-site material handling rates will be published in your 2013 CES Exhibitor Manual.

GES has exclusive control of the loading/unloading and access to/from the loading docks. You and/or your carrier will not be permitted to unload your vehicle.  Only GES will be permitted to do this.  You may also contact GES with questions at CESfreight@ges.com or 702-515-5719. 

Please note that there are no freight elevators at the Renaissance. There is limited space to maneuver, as hallways are 10 feet wide and doorways to meeting rooms are 6 feet wide. Please plan accordingly when shipping large display units, etc.

Exhibitors must abide by the following move-out schedule. All exhibits/displays must remain staffed and fully intact until 4 p.m. on Friday, January 11. Premature dismantling and/failure to fully staff said space during entire CES will result in the loss of one priority point.

The hotel is unable to add or remove any furniture from suites. Exhibitors may not ship or bring outside furniture (couches, televisions, coffee tables, etc.), as the hotel does not have freight elevators accessible to suites to deliver such large items.
